Welcome to Sports World Electives. Sports World Electives operates as a sole proprietorship, and liability is limited to the business assets, not personal assets. By registering for and participating in our physiotherapy elective program, you agree to the following terms and conditions. Please read them carefully before completing your registration. 

Services Provided

  1. Placement: We will arrange your physiotherapy elective placement, including coordinating with host facilities and providing you with a placement schedule. We will endeavour to provide you with a placement schedule prior to your arrival but please be aware this may change at short notice depending on the placement hosts schedule. You will be expected to show flexibility in your placement hours which may sometimes fall outside of usual working hours, however you will never be expected to work more than 5 days per week and hours should normally not exceed 8 hours per day. There may be occasions where some placement hours need to be cancelled, for example in the event of adverse weather, but we will do our best to accommodate alternative plans or hours throughout the course of your placement. If we are unable to provide you with the placement as set out to you during registration, we will let you know and try to arrange an alternative placement or refund of any fee paid minus any expenses already used. 
  2. Accommodation and transport: Accommodation will be provided for the duration of your placement as per the dates agreed in your contract. Details of the accommodation, including location and amenities, will be provided prior to your arrival. This will usually be in the form of a private apartment or house, but occasionally depending on numbers of other students, you may be in a hotel or homestay. If your accommodation is not within walking distance of your placement, then the cost of public transport will be covered. There may be occasions when private transport is arranged and this will be covered for placement travel. Sports World Electives do not cover transport costs outside of placement travel. You will be expected to share accommodation with other students on your placement. If you stay away from the accommodation during your placement, then Sports World Electives will not pay for these costs or accept responsibility for anything that happens during this time. You must get permission from Sports World Elective if you plan to stay away from your accommodation during your placement. For security reasons and to adhere to local authorities regulations, you will not be permitted to invite guests to stay overnight at your accommodation without prior authorisation from Sports World Electives. Failure to adhere to this may result in the immediate termination of your placement. If there are problems with your accommodation then please contact the accommodation directly with the number you will be provided with prior to your arrival. If the problem is not fixed, then please contact Sports World Electives to discuss this further. You must adhere to the rules and regulations of your accommodation as laid out in the code of conduct you will be provided with and upon arrival to your accommodation. 
  3. Airport Transfers: We will arrange airport transfers upon arrival and departure in the placement country. You must inform us of your flight details at least 4 weeks prior to departure so transfers can be arranged. 
  4. Food (When Included): At certain placements, meals may be included as specified in the placement details. If meals are included, this will be communicated to you in advance and you will have the option to opt out. It is your responsibility to inform us of any allergies or dietary requirements, at least 4 weeks prior to your arrival. Food outside of placement hours will not be provided. Whilst Sports World Electives will communicate any dietary and requirements you have to your host facility, we do not hold any responsibility for the food that is provided at the facilities and it is your responsibility to discuss this with the host facility. 
  5. Support: Our team will be available to assist you during your placement, providing guidance on logistics, health, safety, and any placement-related issues. During placement hours, you will have in-country support from your placement hosts and someone to contact in the case of emergencies. Outside of placement hours, we will endeavour to ensure your in-country supervisor can support you during reasonable hours. You will also be provided with remote support by the Sports World Electives team during reasonable daytime hours. 

Student Responsibilities

  1. Personal Travel Insurance: All students are required to obtain comprehensive personal travel insurance covering medical expenses, repatriation, personal liability, loss of items, theft and trip cancellation. Proof of insurance must be provided to Sports World Electives 4 weeks prior to arrival. We cannot accept responsibility for insurance that does not cover any loss, theft, illness, injury or trip cancellation. If sufficient insurance isn’t provided, then Sports World Electies reserves the right to deny participation in placements. 
  2. Personal and Emergency contact information: All students are required to confirm that they are physically and mentally fit for their placement. It is a requirement to disclose any medical conditions that may affect their ability to participate in their placement. You must disclose this on the registration form when you sign up for a placement. Students must also provide us with emergency contact details at least 4 weeks prior to the start of the placement. 
  3. Medical Insurance: Your travel insurance policy must include medical coverage applicable to your work or training activities abroad, especially in clinical settings. Sports World Electives is not liable for any medical expenses you incur during your placement hours and during time spent outside of placement hours.
  4. Vaccinations and Health Requirements: It is your responsibility to ensure that you have the necessary vaccinations and medical preparations for the destination country. Please consult your healthcare provider regarding any health precautions. Sports World Electives can provide advice and guidance on requirements specific for your host country, however please note these may be subject to change and you must ensure you are aware of the most up to date policies.  
  5. Travel Documents: You are responsible for obtaining, paying for and holding valid travel documents, including a passport and any necessary visas, for the entire duration of the placement. We cannot be held liable for any issues arising from incorrect or missing documentation. Please ensure you check the government website for entry requirements to your host country. Sports World Electives can provide advice and guidance on this. 
  6. Conduct and Compliance: While on placement, you must comply with the rules, regulations, and instructions of the host placement, accommodation and local laws. Students are responsible for their own actions and must bear any consequences of illegal activities or damage caused. Any misconduct, illegal activity, or failure to adhere to placement guidelines may result in immediate termination of your placement without refund. This will be at the discretion of Sports World Electives. You will be provided with a code of conduct as part of your pre-placement information pack to sign and this will act as a legal document that you will be expected to adhere to. Failure to do so may result in the immediate termination of your placement without refund. 
  7. Complaints and disciplinary: Given the nature of Sports World Electives offering placements in foreign countries and real working environments, we expect you to show a high level of independence and responsibility in dealing with problems if they arise. However, if you are having difficulties that you need extra support with, we are here to help. Please contact your in-country support team or the Sports World Electives remote support team. We will endeavour to support you through this to find a suitable solution. In the event that you wish to raise a formal complaint, you must inform us in writing with the full details of the claim, no more than 30 days after the end of your placement. We will endeavour to deal with this as quickly as possible. We will make every effort to resolve a disciplinary matter as soon as possible. We reserve the right to take appropriate action in the event that you have failed to comply with our code of conduct, the rules and regulations laid out by your placement host or the rules and regulations of your accommodation. We will inform you of any disciplinary action in writing and we reserve the right to terminate your placement if deemed necessary. Sports World Electives will have no responsibility for accommodation, food or costs incurred following the termination of your placement. In the event of a dispute, both parties agree to resolve the matter amicably through negotiation. If no resolution is reached, the matter will be referred to a mutually agreed mediator before pursuing legal action. These terms and conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Payment and Refund Policy

  1. Fees: The cost of your placement and what’s included will be laid out for you at enquiry. You will be required to pay a deposit fee of £295 to secure your place on one of our placements. This will be taken off your final payment. The rest of your placement fee must be paid in full, 10 weeks before departure. Details of the payment schedule and total cost will be provided upon registration. Please discuss with us if you would like to set up a payment plan. Our prices may change at any time, but any price changes will not affect your placement if you have already confirmed your place and paid the registration fee. Any late payments will be subject to at least £100 surcharge which will increase with further delays in payment. 
  2. Cancellation by the Student: If you need to postpone or cancel your placement, you must let us know in writing by email. There will be a £50 processing fee for any amendment to your placement plus any additional costs that may be incurred for the changes. You must inform us at least 8 weeks in advance for any amendments you wish to make. Every reasonable effort will be made to meet these amendment requests, however we cannot always guarantee that we will be able to fulfil this. We will provide you with any changes to fees before proceeding with the amendment. We cannot accept costs incurred due to the amendment or cancellation of your placement, such as but not limited to, insurance, visas, flights and vaccinations.  If you wish to cancel your placement, the following cancellation refund policy applies:
  • More than 60 days before departure: Full refund minus the deposit and any fees incurred that cannot be refunded, such as accommodation bookings. 
  • 30-60 days before departure: 50% refund of the total fees paid minus the deposit and any fees incurred that cannot be refunded, such as accommodation bookings. 
  • Less than 30 days before departure: No refund.

    3. Cancellation by Sports World Electives: Sports World Electives shall not be held liable for failure to perform any obligations due to circumstances beyond its reasonable control, including but not limited to natural disasters, political unrest, pandemics, or other acts of God. We will offer alternative arrangements where possible and we will endeavour to provide a similar or additional service where possible. If alternative arrangements are not of the standard of your previous arrangements, we will consider a partial refund to match the cost of the new service. If no alternative can be arranged, we will provide a full or partial refund based on expenses already incurred. Refunds can take up to 14 working days to be processed. This is the full extent of your liability and we cannot accept responsibility for other costs, such as but not limited to, flights, insurance, visas and vaccinations. 

Liability and Waiver of Responsibility

  1. Limitation of Liability: Sports World Electives shall not be held liable for any personal injury, illness, accident, or property loss sustained by students during travel or the placement. Students assume all risks associated with participating in the placement and related activities. Whilst every effort is made to ensure all accommodation is safe, we recommend not having an excess of cash at any one time in your possession and if you wish to bring valuable belongings with you, it is your responsibility to make sure that your insurance properly covers these and it is your responsibility to keep them safe. 
  2. Medical Malpractice: All clinical supervisors will have the relevant medical malpractice and public liability insurance in place that meets the regulations of the host country including the supervision of students. Sports World Electives cannot be responsible for any Medical Malpractice of students outside of the scope of their placement and for clinical work outside of the guidance from their supervisor. 
  3. Third-Party Liability: We coordinate placements with third-party facilities; however, we are not responsible for any actions, errors, or omissions of third-party service providers, including host facilities, accommodation providers, and transportation services. 
  4. Insurance Claims: Any claims related to accidents, health incidents, travel disruptions, or lost property must be made through your personal travel insurance provider. We are not responsible for covering any such costs.
  5. Indemnity: You agree to indemnify and hold harmless Sports World Electives, its owner, agents, and affiliates from any claims, damages or liabilities arising from your participation in the placement, including but not limited to personal actions, violations of local laws, or damage to third-party property.

Changes to Terms and Conditions

  1. Sport World Electives reserves the right to modify these terms and conditions at any time. Changes will be communicated to you, and your continued participation in the program will constitute acceptance of any modifications.

Acceptance of Terms

  1. By registering for a placement with Sports World Electives, you acknowledge that you have read, understood, and agreed to these terms and conditions.
